Sending and signing

An approved SOW goes to your client through a secure link. No attachments, every view logged, and nothing internal exposed.

Send

  1. Open the approved version and choose Approve and send or Send to client.
  2. Choose the client contact and the link expiry (30 days by default).
  3. Check the preview: it is exactly what the client will see.
  4. Send. The state becomes Sent to client.

Stafio refuses to send unless the version is approved, unchanged since approval, has a client contact and has a document. This check runs on the server, not just on screen.

What the client sees

The SOW document as approved: template text, scope, milestones, dates and the fees you chose to include. Never internal rates, margin, risk ratings or estimate lineage. Every view and download is recorded in the SOW's send history.

Record the signature

  1. When the signed PDF comes back, open the SOW and upload it, or record the signer's acceptance.
  2. The version becomes Signed and is locked as the baseline. Its lines cannot be changed again.

Recall, revoke or decline

  • Wrong contact or changed mind: recall the SOW. The link is revoked and the version returns to Approved.
  • Declined: record it. The baseline does not change.
  • Anyone opening an expired, revoked or superseded link sees a neutral message that the link is no longer valid.
